About EndNote online

The web version of EndNote can be used to create bibliographies, manage references, share libraries collaboratively and insert citations in a Word document using Cite While You Write. It can be used as a stand alone library or as a way of transferring references from EndNote desktop. Please Note: You need to register for a new online account every time you update your desktop version of EndNote.

Advantages of EndNote Online:

  • Use your citations from any computer even if it doesn't have EndNote desktop installed.
  • Share references with other EndNote Online users anywhere in the world.
  • You can synchronize EndNote X9 & EndNote Online (see tab above) so that an exact match, including file attachments, exists.

Disadvantages of EndNote Online when compared with EndNote desktop:

  • You can't use term lists for journal abbreviations.
  • You can't edit styles and filters.
  • Storage limit of 50, 000 records.

Synchronizing EndNote and EndNote Online

EndNote X9 continues to enable you to synchronise one desktop EndNote library with your EndNote Online Library so  that an exact match exists in both libraries.

You must register & have an active EndNote Online account to initiate the Sync process:

1. Open the EndNote Library you want to sychronise with EndNote Online.

2. Save a back-up copy of this library as a compressed Library (in case of problems during the sync process).

3. Register EndNote X9 with EndNote Online (even if you have an existing EndNote Online account) for your free 2 year subscription:

  • EndNote > Tools > Sync OR Click   (top toolbar)
  • A User Registration box will appear. Click Sign Up
  • Enter your email address > retype it > click submit
  • Enter your personal information in the required fields > click I Agree

4. EndNote will then populate the fields on the Sync page with your email address, password and the EndNote desktop library currently open (you can change this if necessary). Ensure Sync Automatically is ticked  so that the Sync process begins every 15 minutes.

Note:

  • The library currently open in EndNote X9 desktop will become your default library for the Sync process. If you subsequently initiate the Sync process with a different library open in EndNote this will merge with the default library.
  • You cannot initiate the Sync process in Online mode

Video length: 2 minutes 5 seconds.

Note: If you have downloaded EndNote software on your desktop you are not using EndNote basic (which is just the online version)

There are 2 ways you can share your references using EndNote Online:

  1. You can choose to share your complete EndNote Online Library with an unlimited number of colleagues. This allows them to access your library from EndNote desktop (not EndNote Online) and everyone can add to or use the library simultaneously. See the short video under EndNote Online & Library sharing below.
  2. You can choose to share only a group of references. This only allows your colleagues to access the references from EndNote Online only, not from you EndNote desktop library and does not give them access to the rest of your EndNote Online library. See Creating & sharing groups with EndNote Online below. Also see the video on EndNote Online & Word for ways of collaborating on papers.

For information on how to collaborate using EndNote desktop see EndNote and collaboration.

Note: Copyright and licensing restrictions may apply to the sharing of published material. Therefore, the Library strongly advises that you :

  • only send your EndNote library with attachments to colleagues from the same institution or to colleagues who have access to the same databases.
  • send your EndNote library without attachments to colleagues from other institutions that do not subscribe to the same databases
